GMREC VII exhibitors will be in the Seattle Ball Room 3. Table top exhibits or pull out displays are recommended due to the narrowness of the space. Standard pop up booths can be accommodated, but they may not be able to fit the 8 ft table that is provided. You are responsible for moving all your material to and from your booth space.

7th Global Marine Renewable Energy Conference Exhibit Rules and Guidelines:

1. Exhibit Content: We anticipate that these booths will be professional in nature and display industry standard images and messages relating to ocean energy, renewable energy, policy, technology, services, and products deemed appropriate for this conference.

2. Food: All food items must be supplied and prepared by a licensed caterer who is a certified food handler and carries the necessary liability and workman’s compensation.

3. Beverage: A licensee is responsible for the administration of sale of alcohol beverage and service in accordance with the Alcohol Beverage Control Regulations.

4. Cancellations: 50% booth deposit is due upon making a space reservation prior to March 15, 2013. Full payment or balance is due no later than March 15, 2013. No refunds after March 31, 2013. Booths will be allocated on a first come, first served basis.

5. Audio Visual: If you require audio visual equipment or assistance of any sort, that will be at your own expense and arrangement. Please contact

Many customers choose to send supplies and equipment in advance of their event. Please advise your Convention Services Manager of any anticipated deliveries to the hotel at least 14 days prior to the event. When preparing items for shipment, please label them as follows:

Hotel will charge the following handling and storage fees for both inbound and outbound packages, based on weight:


0-5 lbs.               $7.00

6-20 lbs.             $15.00

21-50 lbs.           $35.00

Exceeding 50 lbs. $1.00/lb.

Pallets                  $75.00


Shipments cannot be accepted or stored by the Red Lion Hotel on Fifth Avenue more than five (5) business days in advance of the function unless the group is willing to pay for storage. Hotel has very limited storage space for crates, pallets or large shipments.  If package(s) require more than a 10’ x 10’ x 10’ holding area, the Hotel will be forced to look at alternative storage solutions to which rental fees will apply as necessary.


The Red Lion on Fifth Avenue does not prepare return address labels for clients; please ensure that your deliveries are in order prior to departure. Additionally, please communicate any necessary pick-ups that will need to be scheduled to your Conference Service Manager.

Individual companies will assume full responsibility for materials or equipment shipped to the Red Lion Hotel on Fifth Avenue and/or items left in the banquet/meeting rooms. Hotel will not be responsible for any loss or damage to materials sent to Hotel.
